How to manage multiple locations in one account
Run two sites or twenty from a single Opraly account — shared customers, per-location calendars and staff, and reporting you can view per site or rolled up.
Growing from one site to several should feel like leveling up, not like signing up all over again. This guide shows you how Opraly’s multi-location support lets you run every site from a single account — with shared customers, separate calendars, and reporting you can read per location or across the whole business.
What “multi-location” means in Opraly
One account, many sites. Each location keeps its own day-to-day reality while the things that should be shared stay shared:
- Per location: its own calendar, staff, hours, services and walk-in queue.
- Shared across all: your customer list, memberships, packages, gift cards and your branded booking page.
- Either way: reporting & analytics, viewable per site or rolled up.
That balance means a customer’s membership works wherever they go, but each manager only deals with their own floor.
Step 1: Add a location
- Open Settings → Locations.
- Select Add location.
- Enter the name, address, time zone and opening hours.
- Save. The new site immediately gets its own calendar and queue.
Tip: name locations the way customers think of them (“Downtown”, “Northside”), not by internal codes. Those names appear on your booking page.
Step 2: Assign staff to locations
A team member can belong to one site or several. When you add or edit staff, choose the location(s) they work at and the hours they keep at each. For the full walkthrough, see adding staff and setting roles & permissions.
- Single-site staff appear only on that location’s calendar.
- Multi-site staff show their availability per location, so nobody is double-booked across town.
Step 3: Set services and prices per site
Some businesses keep identical menus everywhere; others price by neighborhood. Opraly supports both:
- Offer the same services across all locations, or
- Tailor which services and prices apply at each site.
Your branded booking page then shows customers the correct menu, staff and availability for the location they pick.
Step 4: Help customers choose the right location
On the booking page, customers select a location first, then see only what is real for that site — available providers, services and the next open slots. Because the customer record is shared, their history, card-on-file and loyalty follow them no matter which site they visit.
Step 5: Read reporting per site or rolled up
This is where multi-location earns its keep. In reporting & analytics you can:
- View one location to coach that team on no-show rate and utilization.
- Roll everything up to see total sales, retention and busiest hours.
- Compare sites side by side to spot what your top performer does differently.
For help making sense of those views, see how to read your reports and dashboard.
A quick comparison
| Item | Scope |
|---|---|
| Calendar & walk-in queue | Per location |
| Staff & working hours | Per location (staff can span sites) |
| Services & pricing | Per location or shared |
| Customers & card-on-file | Shared |
| Memberships, packages, gift cards | Shared |
| Reporting & analytics | Per site or rolled up |
Keeping a multi-site account tidy
- Use roles to delegate. Give each site a manager with location-level access rather than full admin.
- Review monthly. Confirm staff, hours and services are current at every site.
- Standardize what should be standard. Shared intake forms, deposit rules and reminder settings keep the experience consistent — see using intake and consent forms.
Multi-location works the same across every vertical, so a fitness studio with three branches and a chauffeur fleet with two depots run on the same foundation.
